Fact catalog is an essential tool for optimizing the management of products and services to be invoiced. When creating an invoice, it allows you to directly pull products and categories from the catalog, thus avoiding manual data entry. This approach saves significant time and reduces the risk of input errors.

Catalog Structure: Two Levels

  1. Categories represent a range or family of products.

  2. Products correspond to the goods or services to be invoiced. Each product must be linked to a previously created category.

Prerequisite: Create at least one Category

To create one or more products in the catalog, it is essential to first create the categories. Each product must necessarily belong to a category to ensure a clear and structured organization of the catalog. This preliminary step allows for proper classification of items and ensures smooth, intuitive navigation.

Create a Product

  1. Navigate to the Catalog menu and click Create > New product.

  2. Fill in the item's information:

    • Category: To associate the product with its category.

    • Product reference: Must be unique for each category.

    • Product label: Name of the product.

    • Description (optional): Additional information about the product.

    • Pricing information: Unit price (excl. VAT, incl. VAT), purchase price.

    • VAT rate: Applied by default when this product is added to a document.

    • Sales accounts by VAT rate: Define the accounts to be used for accounting transfers.

      • For more information about sales accounts and VAT rates, consult your accounting firm.

  3. Click Create to finalize the process.

Edit, delete, or archive a product

  1. Click the "three dots" button to the right of the item and select Edit.

  2. Make the desired changes in the editing window.

  3. Click Save to apply the updates.

Delete a product

  • A product cannot be deleted if it has already been used in a document.

  • Alternative: Instead of deleting, you can archive the product.

Archive a product

Archiving a product disables it.


Effects of Archiving:

  • An archived product will no longer be suggested when creating or editing a new document.

Reactivate an archived product

  • An archived product can be reactivated if it needs to be used again.
