What actions are available from the control panel?

The control panel is made up of several parts:

  • A line grouping the available actions

  • Part of visibilities (Users who can view the document)

  • A "Document details" section (type, date of issue, size, etc.)

  • A "History" part

  • A "Versions" part to import a new version of the document

To access it, just click on a document.

Available actions

  • Open: allows you to open a window for viewing the document.

  • Download: allows you to download the document directly in PDF to your workstation.

  • Send by email: see the article : "How to share a document ?"

  • New version: see the article : "How to update a document ?"

  • Move: moves the document to another spaces, “Companies” or “Users”, or to store it in one of the folders like Box or Archive

    • if the document is confidential, we warn you

    • it is necessary to confirm

  • Editing: updates document information

  • Delete: moves the document to the trash

It is also possible to have a preview of the document by clicking on its name. Once the preview is open, zoom and rotation options are available.

Some actions are only available through the author of the document. For more information,

Document visibility

The “Visible by” part allows you to view which users can view, modify, download the document. It also possible to search for a user.

Document details

The “Document details” section includes all the document information:

  • The type of document (purchase invoice, bank statement, pay slip, etc.)

  • The date of issue of the document: date on which the document was posted or imported

  • The author of the document: Which user posted or imported document

  • The document size

  • The document update date: see the article: "How to update a document?"

  • The vintage of the document: file (month - year in which the document is included)

  • The creation date of the document

  • The file type (PDF, JPG, TIF, etc.)

Document history

The history part allows you to view which user created the document, and possibly if other users have updated the document by modifying its version.

Document releases

It is possible to modify the version of the document, following an update or other modification.

For this, it suffices either:

  • Click on the New version button

  • Click on the Options button

Then, download the new version of the document to be imported directly to your computer
