Commercial documents and emails sent through Fact are more than just communication tools. They embody the company’s image, reflect its identity, and demonstrate its professionalism. These elements play a key role in shaping how clients perceive the company, representing the quality and values it upholds.

Fact provides customization tools that allow documents and emails to be tailored to recipients, industry-specific needs, and the company’s visual identity. These options can be found in the Customisation section under Settings.

Document customization

In the Document templates tab of Customization section, all created templates are grouped in a list.

Premium offer

Access to multiple document templates and the ability to set a default template require a Premium subscription.

Available Options

  • Creating a new template using the button located in the top-right corner.

  • Viewing a preview to visualize the final rendering.

  • Editing an existing template to adjust it to specific needs.

  • Deleting unused templates, except for the default template.

  • Assigning a default template applied automatically to all documents in the folder. (The default template is marked with a star for easy identification.)

Email customization

Fact includes a system for sending documents and reminders by email, with customizable templates. For mass emails or reminders, the predefined templates in the settings are applied automatically, without the option for modification during the sending process.

Modify email templates

In the EMAIL tab of the Personalization section, the following actions are available:

  • Editing the subject and content of email templates to meet specific needs.

  • Adding dynamic information to enhance emails with contextual data.

Dynamic information: automated personalization

Dynamic information allows specific data to be incorporated directly into templates. For example, the code ((type_document)) is replaced by "invoice" or "quote" depending on the document being sent.

Dynamic elements are displayed on the right-hand side of the customization screen, organized into categories:

  • Document Information

  • Bulk Reminder Information

  • Client Information

  • Company Information

To add dynamic information, copy the corresponding code and paste it into the email template.

Managing Client Responses

Although emails are sent via an address generated by Fact, client responses are automatically redirected to the email address specified in the company’s settings.
