What actions are available from the document control panel?

Actions available on a document

The control panel is made up of several sections:

  • A line grouping the available actions

  • A Visibility section (Users who can view the document)

  • A Document details section (type, date of issue, size, etc.)

  • A History section

  • A Versions section to import a new version of the document

To access these, just click on a document.

Available actions

  • Open: allows you to open a window for viewing the document

  • Signature request: if you have an account with one of our e-signature partners, then you have the possibility to request for the document to be signed

  • Download: allows you to download the document directly to your workstation

  • Send by email: allows sending a secure link to the document via email. See the article : "How to share a document?"

  • Move: allows moving the document to another location.

  • Access history: provides the access logs for the document

  • Edit: updates document information (note: this action is available in the document details section)

  • Lock: a locked document cannot be edited or deleted

  • Delete: moves the document to the trash

Some actions are only available for the author of the document. For more information, see the article : "The rights on the files in Documents application"

Preview of the document

It is also possible to have a preview of the document by clicking on its name. Once the preview is open, zoom, rotation and download options are available.

Document visibility

The “Visible by” section allows you to view which users can view, modify, download the document.

Document details

The “Document details” section includes all the document information:

  • The type (purchase invoice, bank statement, pay slip, etc.)

  • The document date: defaulted to the date on which the document was posted or imported.

  • The valid until date: expiry date of the document.

  • The author: which user posted or imported document

  • The size

  • The updated at date: date at which the document was last updated - see the article: "How to update a document?"

  • The classification date: classification of the document under a flag combining month and year (Feb 2025 for example). This is automatically defaulted according to document date.

  • The created at date: date when the document was posted or imported (contrary to the document date, this date can't be updated).

  • The file type (PDF, JPG, TIF, etc.)

Document history

The history part allows you to view which user created the document, and possibly if other users have updated the document by editing it or modifying its version.

Document versions

It is possible to manage multiple versions for the same document.

  • Clicking on this icon enables adding a new version for the document, which requires for you to upload another document.

  • Click on this menu icon, for a given version, allows downloading the document that corresponds to this version (and if you are on the last version of the document, it allows you to delete the version).
